Do not put on a race without the proper insurance. This protection doesn't prevent you from a lawsuit, but it does cover your legal costs and any settlement.
USA Track & Field (USATF) is the most popular way to insure your event. When you submit an application for sanction through USATF. An event that is USATF-sanctioned is covered by $3,000,000 of general liability insurance. Fees and requirements vary by state and size of event. Visit www.usatf.org for more information.
RRCA (Road Runners Club of America) also provides insurance for events organized by a member club of RRCA. Visit www.rrca.org for details.
In order to receive sanctions and insurance, several safety rules will usually apply. For example, some items which are not covered are the following: Baby strollers or "baby-joggers", in-line skating, dogs on leashes, and bicycles. You will need to clearly state this on the entry form and note this in the race waiver.
Don't make the mistake of expecting that the insurance of your sponsor, or a charity you are involved with, or supporting groups such as a YMCA, Boys and Girls Club, or fraternal organization, will cover your road race.
Even with insurance, you should do your part to ensure the safety of all participants. As race director, it is your responsibility to identify and reduce potentially dangerous situations, which will serve to not only protect your race, but to also keep the sanction premiums low. To further protect yourself:
- Think prevention! What can go wrong? How can you make sure it doesn't?
- Require all vendors on-site to provide certificates of insurance
- Review all rental and lease agreements carefully
- Provide adequate on-site medical care and emergency evacuation
- Report any incidents that result in bodily injury to participants or workers, no matter how small
- Have all athletes sign a waiver as part of their entry form (USATF will provide a waiver to use if you receive sanction from them)
I know that running a race is a potentially hazardous activity. I should not enter and run unless I am medically able and properly trained. I agree to abide by any decision of a race official relative to my ability to safely complete the run. I assume all risks associated with running in the event, including, but not limited to, falls, contact with other participants, the effects of the weather, including high heat and/or humidity, traffic and the conditions of the road, all such risks being known and appreciated by me. Having read this waiver and knowing these facts, and in consideration of your accepting my entry, I hereby for myself, my heirs, executors, administrators or anyone else who might claim on my behalf, waive and release any and all sponsors, their representatives and successors, from all claims or liability for death, personal injury, or property damage of any kind or nature whatsoever arising out of, or in the course of, my participating in this event whether same be caused by negligence or fault. This release and waiver extends to all claims of every kind or nature whatsoever, foreseen or unforeseen, known or unknown. The undersigned further grants full permission to sponsors and or agents authorized by them to use any photographs, videotapes, motion pictures, recordings, or any other record of this event for any purpose. Minors accepted only with a parent or guardian's signature.
